Without them, we wouldn\u2019t have an\u00a0<a href=\"https:\/\/ona17.journalists.org\/sessions\/openingnightreception\/\">opening night reception<\/a>, fun events like\u00a0<a href=\"https:\/\/ona17.journalists.org\/sessions\/morningyoga\/\">morning yoga<\/a> or\u00a0our incredible\u00a0<a href=\"https:\/\/ona17.journalists.org\/opportunities\/student-newsroom-innovation-lab\/\">Student Newsroom and Innovation Lab<\/a>, a program\u00a0that for years has supported some of the best emerging talent in journalism.<\/p>\n<p>That said, attendees have made it clear from the outset that they care about\u00a0privacy and how the personal information we are privy to is handled. We get questions about this every year, and for ONA17 and beyond, we\u2019re addressing it directly.<\/p>\n<h3 id=\"privacy\">Privacy Policy<\/h3>\n<p>First, here is our\u00a0<a href=\"https:\/\/ona17.journalists.org\/privacy-policy\/\" target=\"_blank\" rel=\"noopener\">Privacy Policy<\/a>. It\u2019s fairly standard, the highlights being that we share general numbers \u2014 without other identifiers \u2014 in the aggregate (e.g., x% of attendees have decision-making power,\u00a0\u201cn\u201d attendees who have food allergies, etc.) with staff, board members, sponsors, catering services or others who need to know that information to serve you best. We also track analytics to know what generates attention on the site, which helps us give a more prominent position to\u00a0popular posts and areas of the website.\u00a0And one noteworthy point: Entrants to the\u00a0<a href=\"https:\/\/awards.journalists.org\/\">Online Journalism Awards<\/a>\u00a0may have entry\u00a0details from their submissions shared with those who judge and fund specific awards.<\/p>\n<h3>Conference attendee lists and groups<\/h3>\n<p>One of the most heavily requested documents from attendees and sponsors alike is an attendee list. That list is created in both .pdf and .csv (spreadsheet) format, and\u00a0contains:\u00a0first name, last name, title, organization and Twitter handle, if provided. We strip it of email and any other direct contact information. We share\u00a0this three times:<\/p>\n<ul>\n<li>a preliminary list is shared with sponsors several weeks before the annual conference<\/li>\n<li>an updated list is shared both with sponsors and attendees one week before the event<\/li>\n<li>a final list is available for anyone who completes our post-conference survey, sent after the event ends<\/li>\n<\/ul>\n<p>We also compile an attendee Twitter list, so if you\u2019ve provided your Twitter handle, people can find you there. We host an <a href=\"https:\/\/www.facebook.com\/groups\/697248997072120\/\">ONA17\u00a0Facebook group<\/a>\u00a0for attendees, which is technically private, but we allow most people to join unless they spam the group with ads or we have reason to think they might.<\/p>\n<h3>Other ways you may be contacted<\/h3>\n<p>One very important note:<strong>\u00a0We do\u00a0not sell attendee information and we work to keep your personal information\u00a0secure.<\/strong><\/p>\n<p>Once in awhile, companies \u2014 sponsors and otherwise \u2014 will send attendees emails promoting products, inviting attendees to events or otherwise reaching out. This sometimes causes confusion, because the reasonable assumption is that we\u2019ve provided companies\u00a0with this information.<\/p>\n<p>Organizations\u00a0may find you using a few methods:<\/p>\n<ul>\n<li>Some companies have long-standing databases, and when they input your name, your email address may be stored from another event or contact with the company. From what we can discern, this is the most common method.<\/li>\n<li>If your organization uses a standard email format, like firstname@journalists.org, it\u2019s pretty easy to figure out your work email.<\/li>\n<li>Members of ONA can log into our member center and look up other members of ONA, which includes the email you\u00a0have in your ONA member profile. If this is your personal email, and you don\u2019t wish other members to contact you this way, please consider updating your member profile to display your preferred email.<\/li>\n<\/ul>\n<p>If we do see contact with our community that even borders on inappropriate, we try to address it directly with the individual, company or organization.\u00a0They are encouraged to avoid\u00a0unsolicited communication, and to follow all CAN-SPAM rules.<\/p>\n<p>Finally, it\u2019s worth noting that attendees and sponsors both increasingly ask us for more mechanisms to connect and communicate. We\u2019ve had requests for:<\/p>\n<ul>\n<li>Slack channels<\/li>\n<li>in-app chat systems for registered attendees to message one another<\/li>\n<li>QR codes on badges to scan and collect contact details<\/li>\n<\/ul>\n<p>If these or another system would be something you\u2019d like to see, we\u2019d love to hear your thoughts.
